Executive Support Officer to the Vice Principal (Science and Engineering)

The Office of the Principal wishes to appoint an Executive Support Officer to provide high-level and comprehensive research, secretarial and administrative support to the Vice-Principal.

The role will support the Vice-Principal across all his activities. This will include co-ordinating his commitments to ensure the effective running of agendas, meetings, diaries and projects. This work will sit alongside a requirement to manage the VP’s externally funded research grants (DAASE and OR-MASTER currently), which will involve co-ordinating network partners, preparing reports for stakeholders and managing project budgets.

The role will focus on ensuring the smooth, efficient and effective running of the VPs agenda as well as contributing more broadly to ensure that the wider Office is able to operate effectively. The role will require considerable initiative, judgement and adaptability to decide on appropriate courses of action and to react to changing circumstances.

This role will also support specific projects within the Faculty of Science and Engineering, working closely with the Faculty Operating Officer and their Deputy as well as the VP to support the smooth running of the Faculty and progression of projects and meeting agendas (including some meeting support).

In supporting the activities of the Vice-Principal, the postholder will be required to work closely with members of the Office of the Principal, the S&E Faculty Executive and the Research Support team in the School of Electronic Engineering and Computer Science.

The post holder will liaise with a wide range of people at a very senior level in QMUL and at partner organisations and therefore will be expected to represent the Vice-Principal and wider institution in a professional, efficient and courteous manner. The post holder is expected to maintain complete confidentiality at all times.

This is a wide-ranging role, which will allow the appointee to further develop a broad range of skills and experiences and develop a close understanding of the running of a Faculty and the wider institution via engagement with the VP and Senior Executive.

Key skills for this role include education to degree standard or equivalent, excellent written and communication skills, as well as strong interpersonal skills to build effective working relationships. Experience of managing a complex diary through a senior administration/PA role would be an advantage. Additionally you should have some understanding and experience of the management of large research grants including familiarity with application and reporting systems.

This role is initially offered for a 12 month period but depending on demands it may become a permanent role. The post is full time, salary will be in the range £45,577-£50,881 per annum inclusive of London Allowance.
